The short version. Plotbook is invite-only. Use it for legitimate job tracking, keep your account secure, and you own your job data — we just process it for you. This is a template; replace bracketed details and have it reviewed before launch.
1. The agreement
These terms govern use of the Plotbook Office portal and the Plotbook Field apps (together, the "Service") by your company and the people you authorise. By using the Service, you agree to these terms. If you're agreeing on behalf of a company, you confirm you have authority to do so.
2. Access & accounts
Plotbook is provided to invited companies only; there is no public sign-up. You're responsible for your account credentials and for the activity of the users you invite. Tell us promptly at support@plotbook.co.uk if you suspect unauthorised access.
3. Acceptable use
Use the Service lawfully and for genuine job tracking. You agree not to:
- upload unlawful, infringing or harmful content;
- attempt to breach security, probe, or disrupt the Service;
- reverse-engineer or resell the Service except as the law allows;
- use it to surveil individuals beyond the soft, per-plot check-ins it provides.
4. Your data
You own the job data you put into Plotbook — sites, plots, tasks, photos, snags and sign-offs. You grant us the limited rights we need to host and operate the Service for you. We act as your processor; how we handle personal data is set out in our privacy notice and data processing terms. You can export your data on request.
5. Availability & support
We work hard to keep Plotbook available and offline-tolerant on site, but we don't guarantee uninterrupted service. Planned maintenance is announced in advance where practical and posted to our status page. Support is provided during UK business hours.
6. Fees
Fees, billing cycle and any trial terms are set out in your order or onboarding agreement. The Plotbook Field app is a free download for the trades on an active account. Unless stated otherwise, fees exclude VAT.
7. Liability
Nothing in these terms limits liability that cannot be limited by law (such as for death or personal injury caused by negligence, or fraud). Subject to that, the Service is provided "as is", and our total liability is limited as set out in your order. We're not liable for indirect or consequential loss.
8. Term & termination
These terms apply for as long as you use the Service. Either side may end the agreement as set out in your order. On termination you can export your data within a reasonable window, after which we delete or anonymise it in line with our retention practices.
9. Governing law
These terms are governed by the laws of [England & Wales / relevant jurisdiction], and the courts there have exclusive jurisdiction. Questions: legal@plotbook.co.uk.
